This Privacy Policy describes how INOX Shipping ("Company", "we", "our", or "us") collects, uses, stores, and protects your information when you use the INOX Shipping mobile application ("App").

1. Information We Collect

Depending on how you use the App, we may collect the following information:

• Name
• Email address
• Phone number
• Company information
• Profile information
• Shipping and booking information
• Uploaded documents and images
• Selfie photo captured for attendance/visit verification (see Section 3 below)
• Location information (when required for business purposes)
• Device information (device model, operating system, app version)
• Log and usage information

2. Permissions Used

The application may request access to the following permissions:

• Camera – To capture images, scan required documents, or take a selfie photo to confirm your presence at a client visit.
• Microphone – To record your voice so it can be converted into interaction notes using the Speak feature.
• Speech Recognition – To convert your recorded voice into text for interaction notes.
• Storage / Photos – To upload or attach files and images.
• Location – To support location-related business features where applicable.
• Internet – To communicate securely with our servers.
• Notifications – To notify users about important updates, messages, or shipment activities.

Permissions are only used for the features they support and are not used for unrelated purposes.

3. Selfie and Face Data for Attendance Verification

When you check in for a client visit, the App captures a selfie photo to confirm your presence at the visit location. This section describes specifically how this photo (face data) is collected, used, stored, and retained.

• What is collected: A single selfie photo taken at the time of check-in for a client visit.
• Purpose: The photo is used solely to provide a visual record confirming that the correct user was present at the visit location. It is not used for facial recognition, biometric identification, or any automated analysis.
• Transmission: The selfie is uploaded from your device to our servers over a secure, encrypted connection (HTTPS).
• Storage: The selfie is stored on our backend server, in a protected directory that is not publicly accessible and cannot be browsed directly. Only our backend application can access stored selfies.
• Retention: Selfies are retained on a rolling basis with a maximum of 100 stored at any time across the App. Once this limit is reached, the oldest stored selfie is automatically deleted as new selfies are added. Authorized administrators within the App may also manually delete a stored selfie at any time before it reaches this automatic limit.
• Sharing: Selfie photos are not shared with, sold to, or processed by any third party, including any identity verification or facial recognition vendor. They are accessed only by our own backend systems and authorized administrators within the App.

4. How We Use Your Information

We use collected information to:

• Provide and maintain our services.
• Authenticate users.
• Manage shipping and booking operations.
• Upload and manage required documents.
• Verify attendance and presence at client visits.
• Respond to customer support requests.
• Improve application performance and security.
• Send important notifications related to your account or shipments.

5. Data Sharing

We do not sell or rent your personal information. Your information may only be shared:

• With authorized employees of INOX Shipping.
• When required by applicable law or legal authorities.
• To protect our legal rights or investigate fraud or security incidents.

Selfie photos captured for attendance verification are handled under the stricter terms described in Section 3 above and are never shared with third parties.

6. Data Security

We implement appropriate administrative, technical, and organizational security measures to protect your information against unauthorized access, loss, misuse, or disclosure.

However, no method of electronic transmission or storage is completely secure, and therefore we cannot guarantee absolute security.

7. Data Retention

We retain your information only for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Selfie photos captured for attendance verification follow the specific rolling retention limit described in Section 3 above.

8. Your Rights

You may have the right to:

• Access your personal information.
• Request correction of inaccurate information.
• Withdraw permissions granted to the application through your device settings.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page along with an updated Effective Date. Continued use of the App after changes become effective constitutes acceptance of the updated Privacy Policy.
